Delete your Rotazen account
Last updated: 29 May 2026
This page explains how to request deletion of your Rotazen account and the data associated with it, what is removed, and what we are required to keep.
Rotazen is a workforce scheduling app for hospitality teams. You can delete your account at any time, either inside the app or by contacting us. Deleting your account is permanent and cannot be undone. Your time records, shifts, employment contracts, and leave records stay with your employer for the period the law requires. In the app they are no longer linked to your name; copies of signed documents uploaded by your employer necessarily still contain it.
How to delete your account in the app
The fastest way to delete your account is from within the Rotazen mobile app:
- Open the Rotazen app and sign in.
- Open the Profile tab.
- Under Account, tap Delete Account.
- Read what will be removed, tap Delete My Account and confirm.
Your account is closed immediately and you are signed out. Your profile is anonymised and your employer is notified. The action is permanent and cannot be reversed. If you are the owner of the organisation, you must first transfer ownership to another administrator.
How to request deletion by email
If you cannot access the app, you can request deletion by email. Send a message from the email address registered to your account to:
Rotazen Support
rotazen@rotazen.appUse the subject line "Delete my Rotazen account". We verify the request against your registered email and complete the closure within 30 days. You will receive a confirmation once it is done.
What data is deleted
When your account is deleted, we permanently remove:
- Your profile information — name, email address, phone number, and profile photo
- Your sign-in credentials and your access to the app
- The push notification tokens on your devices
- Your notifications and notification preferences
- Your reactions and read receipts on team announcements
- The link between your name and the employment records your employer must keep
What we keep, and for how long
Some records remain after your account is closed, because they belong to your employer and the law requires them to be kept:
- Employment records: time records (including the coordinates captured at clock-in and clock-out), shifts, employment contracts, and leave records are kept by your employer as data controller, for the period required by labour, tax, and accounting law. Once your account is closed they no longer carry your name.
- The rota and its explanation: shift swap requests, availability and recurring availability templates are kept by your employer alongside the shifts, because they explain why a retained shift had the person it had. The Labour Inspectorate can ask for both. Once your account is closed they no longer carry your name.
- Personnel-file documents: copies of signed documents — employment contract, annexes, termination document, medical documents, residence document — stay with your employer as controller for the period the law requires. They still show your name, because they are copies of a signed document.
- Backups: residual copies in encrypted backups are purged on our normal backup rotation, within 30 days of closure.
Aggregated and anonymised reports that no longer identify you may be retained by the organisation.
